Please make certain that the staff at your Venue are able to answer basic questions regarding your HeroClix events. They should be able to tell someone the date, time, build totals and and special stipulations for the event.
This is easily arranged -- print out a writeup for the upcoming events and make certain the staff has a copy handy.
Or get it up on the store's web site, and the staff can direct people there.
Yes, it would be nice if WK had tournament listings up on their site again. Until that happens, it's up to you to make things as easy as possible for new players/customers.

I called 7 stores today located on Heroclix.com
4 never answered or the phone number was wrong.
1 couldn't tell me when tourneys were being held, but he was pretty sure they were, but not sure if BatB was in (much less prize support)
1 could tell me when they had tourneys, but he said bring some folks 'cause there wasn't any interest in the area (but he had prize support :/)
and the last one told me about his biweekly tourneys, but had to get back to me about formats and prizes (which he did and that was cool.)
All because the LCBS forgot to order prize support for BatB
no trees were killed in the sending of this message, but a large number of electrons were terribly inconvenienced.
As far as I can tell, we have 2-3 functioning tourney stores in the area, down from a once 6-8. I know the main one in our area has a website with tourneys/builds on rhe calendar, and they could tell you whe events are. The other ones I'm not sure anymore. I miss the days where I could be bored and check and see when tourneys were on one site.

we usually have it posted at where the heroclixs are sold at one of the venues as well as on their website, the other has it written down on a calandar they keep as well as on their website as well...

Communication is key.
I print out .pdf fliers for all games, personally hand a copy to each player at the venue for the next week.
I also have the fliers posted in two locations at the venue.
I then email everyone that plays at the venue an electronic version of the flier 5 days in advance.
I also have a website devoted to our events, where players can see the next four weeks worth of events with all relevant information and can download copies of the fliers.
I also post the four weeks worth of events on the venue's forums.
I also post the four weeks of upcoming events in a dedicated thread here in the Realms' Tournaments forum.
you have everything there but calling everyone and physically showing up at their houses to tell them in person...
LOL! Believe it or not, when a player doesn't show up, I give them a call as well. But not to disturb them, but just to make sure they are physically ok. My players are my friends and fellow gamers, and sincerely care for their well-being, so I give them a call or PM or IM them to make sure they are ok.
Our venue actually has its own forum where the judge updates and tells us what the tournament is going to be. Granted sometimes he's a little late with it but the guy does have a life.
One thing I can suggest is a blog. I know one venue in my area that doesn't announce there tournaments untill everyone gets there. That's the main reason I don't go. And I honestly think it could be fixed by just posting the info on a simple blog.
I post all the events I hold on the venue's facebook page and give any who ask a printout copy of the schedule. I also make sure everyone knows that events are subject to change in case something happens out of our control.
